Thank you for choosing to book a stay at Holiday With Your Dogs. We are proud to offer a unique rural escape where both you and your canine companions can relax and create wonderful memories. We welcome guests who share our appreciation for this special place and who will treat the property and its natural surroundings with care and respect.

When you book a holiday with us, you can rest assured that we will do all we can to ensure you have the most amazing holiday experience. In return, we ask that you respect that this is our business, and that when you book and we accept your booking, both parties are entering into a legally binding contract.

You will be asked to read and agree to these Terms and Conditions and our Privacy Policy before completing your booking.

These Terms and Conditions supersede all previous versions, and your booking is subject to the terms in force on the date of your Booking Confirmation.

Definitions

In these Terms and Conditions, the following definitions apply:

‘Booking’ refers to the rental agreement for a stay at The Barn for specific dates.

‘The Barn’ refers to the holiday accommodation located at Abergorlech Road, Brechfa, Carmarthenshire, SA32 7BH, including the building and designated private areas within the grounds.

‘Deposit’ refers to either the Early Booking Fee of £75 (for bookings made more than 52 weeks in advance) or the 25% payment of the total holiday cost required to secure a booking.

‘Security Deposit’ refers to the conditionally refundable sum of £100 that may be required prior to your stay.

‘Exempt dogs’ refers to dogs that have been exempted from the provisions of the Dangerous Dogs Act 1991 and hold a Certificate of Exemption.

‘CDO’ refers to a Conditional Destruction Order issued under the Dangerous Dogs Act 1991 (as amended).

‘Lead booker’ or ‘guest’ refers to the person who makes the booking, who must be over 18 years of age, who must stay at the property for the duration of the booking, and who accepts responsibility for the booking.

‘Party members’ refers to all individuals who will be staying at The Barn as part of the booking.

‘Force Majeure’ refers to unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even with all due care.

Contract Formation

A legally binding contract for a holiday rental will be between Holiday With Your Dogs, the provider of The Barn accommodation and access to our grounds (referred to as “us” or “we”) and the lead booker (referred to as “you”) under the following booking conditions. The Contract will be subject to these booking conditions and must be complied with. The lead booker agrees to take full responsibility for ensuring that all Terms and Conditions are adhered to and must be over 18 years of age at the time of booking. A breach of any part of these Terms and Conditions will constitute a breach of the contract between us and may result in you being asked to leave the property with immediate effect and without compensation.

Booking Process

Reservations are made exclusively through our online booking system. Your reservation will be held for 3 days pending payment. We reserve the right to refuse any booking without stating a reason.

The guest making the booking must:

  • Be over 18 years of age
  • Accept responsibility for all contractual obligations on behalf of all party members
  • Ensure that the accommodation and grounds are suitable for their requirements
  • Ensure they have legally required insurance to cover their dogs, and appropriate insurance to cover any need to cancel their holiday
  • Ensure all party members are aware of, and comply with, these Terms and Conditions

Contact Information

You are responsible for ensuring that the contact details you provide at the time of booking remain current and accessible. This includes promptly notifying us of any changes to your email address, phone number, or postal address. Important communications regarding your booking, property access details, and any updates to Terms and Conditions will be sent to the email address provided during booking. We cannot be held responsible for any issues arising from failure to receive communications sent to the contact details you have provided.

Payment Terms

For bookings made more than 52 weeks before arrival:

  • A non-refundable Early Booking Fee of £75 is required upon booking
  • The standard 25% deposit (minus the £75 already paid) is due 52 weeks before arrival
  • The final balance must be paid 6 weeks before arrival

For all other bookings:

  • A 25% non-refundable deposit is required upon booking
  • The final balance must be paid 6 weeks before arrival

Non-payment by the due dates will be treated as a cancellation by the guest.

Cancellation Policy

Please remember that by booking you have entered into a legally binding contract to pay the required sums by the due dates. However, we appreciate that life happens and circumstances sometimes mean that guests may need to modify or cancel their booking. We will always endeavour to assist you with alternative dates or by attempting to re-sell your booked dates. For operational reasons, we may not always be able to re-advertise your dates immediately and are under no legal obligation to do so.

We strongly recommend guests purchase appropriate travel insurance that includes cancellation coverage.

  • Should you need to cancel or modify your booking please contact us via email before cancelling through the online system
  • If guests have not arrived by noon on the day following the booking start date without communication, the booking will be treated as cancelled without refund

Refunds for Cancellations

Refunds will only be issued if we successfully re-let the property at full price, minus:

  • £75 administration fee
  • Early Booking Fee (if applicable)
  • Any discounts or costs incurred in re-letting
  • Refunds will be processed within 21 days of receiving payment from the new booking
  • Date changes may be possible without losing the Early Booking Fee
  • If your cancelled dates remain unsold, we reserve the right to withdraw them from sale up to 21 days before the start date for operational and maintenance purposes

Prohibited Activities

Our insurance policy strictly forbids:

  • Charging electric motor vehicles, scooters or e-bikes using our domestic power outlets
  • Using electric hook-up/shore power systems on any vehicle connected to our domestic power supply
  • Use of fireworks, Chinese lanterns, or candles
  • Swimming in the river
  • Additionally, due to wildlife disturbance, please do not fly drones over any of Holiday With Your Dogs’ land without our written permission

Property Capacity

  • The standard occupancy of The Barn is 2 people. Additional guests may be permitted in certain circumstances:
  • Any request for additional occupancy must be made in writing and approved by us prior to booking
  • We reserve the right to apply additional charges for extra guests
  • The maximum total occupancy shall not exceed 4 people under any circumstances
  • All guests, including any approved additional guests, must be registered before arrival

Dogs

We pride ourselves on providing a pleasant and enjoyable holiday experience for all our canine and human guests and welcome responsible and considerate dog owners. To maintain our high standards, we require all guests’ cooperation with the following:

  • The number of dogs must match those on the booking
  • Dogs must not be left alone anywhere in or on the property if guests go out, and must always be under direct supervision when using the wider grounds
  • All dog waste must be collected promptly and disposed of in designated bins
  • Protective throws must be used on furniture
  • Dogs are only permitted on the bed by prior arrangement and with the use of guest-provided bed linens
  • All dogs must be reliably housetrained. Any toileting accidents must be thoroughly cleaned up and reported immediately so that appropriate measures can be taken prior to the next guests’ arrival
  • Regular vacuuming of floors and mats to remove dog hair is required during your stay, with final thorough cleaning before departure
  • Dogs must be up-to-date with flea, tick, and worming treatments prior to arrival
  • Additional cleaning charges may apply
  • Exempt dogs and those with Contingent Destruction Orders (CDOs) welcome with proper documentation
  • We reserve the right to request proof of valid insurance for any dogs covered by legal requirements, including those exempt under the Dangerous Dogs Act or subject to CDOs

Other Pets

Other pets may be allowed by prior written arrangement only. Please contact us before booking if you wish to bring any pets other than dogs.

Dangerous Dogs Act Compliance

Guests are responsible for ensuring their dogs comply with the Dangerous Dogs Act 1991 (as amended) at all times, including while on the property:

  • Guests must maintain proper control of their dogs, including when deliveries are expected
  • Guests with exempt dogs or those subject to CDOs must ensure all conditions are met at all times
  • Delivery personnel and any visitors must be advised of the presence of dogs
  • Dogs must be appropriately secured when deliveries or maintenance visits are expected
  • Guests accept full responsibility for any incidents involving their dogs during their stay
  • We strongly recommend that guests with delivery orders specify safe delivery instructions
  • Failure to properly manage dogs, particularly during deliveries or visits, may result in termination of your stay without refund.

Property Access

Check-in: From 4:00 PM onwards

Check-out: Before 10:00 AM

We require guests to vacate both The Barn and grounds by this time.

Property Care and Departure Condition

To maintain The Barn’s standards and comfort for future guests, we kindly ask that you:

  • Treat the property, furnishing, and equipment with care and respect
  • Maintain the property, furnishings, and equipment in the same state of repair as found upon arrival
  • Protect the furniture from muddy paws and claw marks
  • Vacuum floors and mats regularly to prevent dog hair build-up
  • To avoid attracting local wildlife, please store all human and dog food in the storage bins provided, and clean up any food debris
  • Acknowledge and pay for any breakages or damages promptly (with the exception of an odd broken piece of glassware or crockery)
  • Dispose of waste according to the provided instructions

While we warmly welcome dogs and understand the realities of countryside holidays, maintaining basic cleanliness during your stay helps us preserve our ‘no additional charge for dogs’ policy, and helps to keep the property in good condition for future guests.

Website Accuracy

While we make every effort to ensure the accuracy of our property descriptions, photographs, and amenities, minor changes may occur between the time of listing and your stay. Distances, views, and surrounding features are approximate and may vary. Seasonal changes to the property and grounds are to be expected. We accept no liability for such variations, or for changes to local amenities and attractions mentioned in our descriptions.

Suitability

The Barn is an eighteenth-century converted hay barn with character and historical quirks.

Features include:

  • Open-plan layout with multiple levels
  • Stone and tiled floor
  • Open-tread stairs to mezzanine bedroom
  • Areas of restricted headroom
  • Occasional presence of countryside wildlife both outdoors and, on rare occasions, indoors (including garden birds and mice)
  • Rural location in a valley setting
  • Extensive private grounds including sloping terrain and steep areas
  • River forming part of the property boundary
  • Land access requires reasonable fitness and mobility

Guests must satisfy themselves regarding the property’s suitability for their specific needs. The historic nature of the building and rural setting means The Barn may not be suitable for those with limited mobility. 

Limitation of Liability

We cannot accept responsibility for:

  • Events beyond our reasonable control
  • Loss or damage to guest property
  • Service interruptions
  • Weather-related issues
  • Construction or events in the vicinity
  • Material loss or additional expenses

Guest Liability and Indemnification

You indemnify us against loss, damage, or injury sustained to the property or any persons as a result of any breach of these Terms and Conditions, or arising from the fault of you, your dogs, or any member of your party. This includes damage to the property, its contents, grounds, or neighbouring properties, as well as any injury to owners, staff, other guests, or third parties.

Smoking Policy

The Barn is strictly non-smoking throughout. This includes vaping and e-cigarettes. Smoking is not permitted in the garden areas if adjacent to open windows or doors. If smoking in permitted outdoor areas:

  • All cigarette butts must be completely extinguished and disposed of safely in the refuse
  • E-cigarettes and vaping devices (particularly disposables) must not be placed in household waste and must be taken away by guests for proper disposal
  • Any cigarette-related litter must be cleaned up by guests
  • Any evidence of smoking inside the property will result in forfeit of the security deposit and potential additional cleaning charges

Pandemics and Government-Mandated Closures

In the event of a pandemic, public health emergency, or other exceptional circumstance:

  • We will comply with all government instructions and regulations regarding bookings and refunds
  • Where government regulations permit flexibility, our standard cancellation policies will apply
  • We recommend guests purchase comprehensive travel insurance that includes coverage for these circumstances

Force Majeure

We cannot accept responsibility or liability for any alterations, delay, cancellation, loss or damage caused by events beyond our reasonable control. This includes but is not limited to war, civil unrest, terrorism, industrial disputes, natural disasters, fire, flooding, severe weather, or any other event outside our control.

Waiver

The failure of the owner to enforce or exercise, at any time or for any period, any term of or any right pursuant to these Terms and Conditions does not constitute and shall not be construed as a waiver of such term or right. No waiver by us of any breach of these Terms and Conditions shall be considered as a waiver of any subsequent breach.

Use of Land

  • Use of Holiday With Your Dogs’ land (including garden, paddocks, and woods) is at your own risk

  • Guests are responsible for supervising dogs at all times

  • Warning signs and any requests to avoid certain areas must be observed.
  • While boundaries are well-fenced and maintained, no guarantees are given regarding their ability to prevent escape
  • We reserve the right to prevent guests from accessing certain areas of the land if deemed necessary for safety or other operational reasons

Property Security

Guests must ensure the property is properly secured when unoccupied: 

  • All windows and doors must be closed and locked when leaving the property
  • Gates to enclosed areas must be properly closed and secured
  • The property must not be left unlocked or accessible when unattended
  • Keys/entry codes must be kept secure and not shared with non-registered guests
  • Any security issues must be reported to the owner immediately
  • Guests may be held responsible for losses or damages resulting from failure to properly secure the property

Access for Maintenance

We reserve the right to access the property during your stay for essential maintenance or emergencies, providing reasonable notice when possible. In emergencies, immediate access may be required. We will respect your privacy and minimise disruption whenever access is necessary.

Right to Deny Access

We reserve the right to deny access or require you to leave the property immediately without refund or compensation in the following circumstances:

  • Occupying the property with more people than specified in the booking
  • Arrival with pets not declared and approved at the time of booking
  • Providing false or misleading information at the time of booking
  • Behaviour that is abusive, offensive, illegal, or unreasonably disruptive
  • Failure to provide proof of legally required insurance and/or documentation for exempt dogs or those with CDOs, when requested
  • Causing or threatening to cause damage to the property
  • Smoking/vaping within the property
  • Refusing to comply with reasonable requests from the owners
  • Any other serious breach of these Terms and Conditions

In such circumstances, you will not be entitled to a refund, and we will not be liable for any expenses incurred by you including, but not limited to, alternative accommodation costs or travel expenses.

Complaints

Your holiday enjoyment is very important to us and we do all in our power to ensure it. Complaints must be reported immediately. You are responsible for telling us of problems to give us the opportunity to put things right. Complaints made on departure or subsequently will not be accepted, and no liability accepted nor refunds due.

Dispute Resolution

Any disputes shall be governed by the law of England and Wales and conducted in the jurisdiction of the owner’s local court.

Privacy and Data Protection

We protect your personal information in accordance with current data protection legislation. Complete details can be found in our Privacy Policy.

Changes to This Policy

We reserve the right to update these Terms and Conditions. For existing bookings, any changes will only apply if they are (1) required by law, (2) mandated by our insurance provider, (3) do not materially diminish your rights, or (4) are accepted by you in writing. The current version will always be available on our website, and we will communicate any significant changes to you via email.
